Editing questions, answers and links

Management -> Organization & Planning -> Answers

These can be edited in the administration section under Questions or Answers as follows: Adjust contingents, export associated booking lists, view links, and create or delete new ones. In the advanced package configuration, you can edit the links between offer packages, questions, and answers.

Overview of all answers

Explanations to Figure 1:

  1. Create new answers, e.g. to set up cross-offer contingent counters.

  2. Delete, edit and copy answers. Deletion is only possible if the answer is not yet linked in a booking. No links are copied when copying.

  3. The date is only automatically stored for answers that were created automatically (e.g. when creating an offer package in the offer wizard). Without further processing, the conference date (for automatically created answers) or nothing (for manually created answers) is stored here by default. This date can be used to control time-limited visibility in the front end and attendance times on the confirmation of participation.

  4. Persons/Bookings/Check-ins displays:

    • Persons - Shows how many persons have booked the linked offer(s).

    • Bookings - Shows how many bookings have been made. This number may be higher than the first one, as several bookings may be permitted per person, depending on the configuration.

    • Check-ins - Shows how many people who have booked the offer(s) have already checked in.

  5. Displays the stored contingent

  6. Indicates whether and how the answer is linked. The linked questions/offer packages can be viewed and edited in the detailed view in the Links tab.

The answers always count the bookings, persons or check-ins from the current booking option to which they are linked. If the links are changed subsequently, the newly linked bookings, persons or check-ins are counted.

When making changes, it is important to note whether the answers are directly or indirectly linked, as this can affect the registration process. It is also important to check how many places the change could affect (number of links).

Explanations to Figure 2:

  1. Adapt the Internal description. A name for the frontend is not necessary for directly linked answers, as the answer is not visible there. For answers visible in the frontend , the internal description serves as a fallback if no name has been assigned for the frontend.

  2. A value can be set as an external reference for the answer, which can be transferred to the Converia API and used for identification in external systems.

  3. If the booking information is to appear on the badge, an abbreviation (e.g. “ALL” for conference participation on all days) and, if necessary, its sorting must be defined on the badge.

  4. The internal description is never displayed in the frontend - not even if no name has been assigned for the frontend. A frontend description is not necessary for directly linked answers.

  5. The room selection at this point currently has no function.

  6. The date for start and end refers to the booking option if it is a program item with fixed times, for example. Without further editing, the conference date (for automatically created answers) or nothing (for manually created answers) is stored here by default. This date can be used to control time-limited visibility in the frontend and attendance times on the confirmation of participation.

  7. Define a contingent for this answer

  8. Individual answers linked indirectly via a question can be hidden in the frontend. This can be useful, for example, if fully booked answer options are no longer to be displayed. The visible checkbox has no effect on directly linked answers.

Edit questions

Questions can be edited directly in the offer wizard or in the management, where all existing questions are listed in an overview (Fig. 3). Editing in the management area is particularly useful when using a large number of questions or if individual questions are linked in several offer packages.

Explanations to Figure 3:

  1. Create a new question

  2. The CSV export of the questions lists all questions, associated offer packages and linked answers. The export thus provides a clear overview.

  3. Delete or edit questions

Explanations to Figure 4:

  1. Assignment to parent question is currently without function.

  2. Fill in the (internal) names and descriptions.

  3. Selection conditions for associated answers can be defined here. This configuration can also be carried out in the offer wizard in the question. The comparison characters correspond to the terms in the Minimum, Maximum and Exact wizard.

  4. The show in backend only checkbox can be used to show or hide the entire question including answers in the frontend. Hiding is useful if there are already bookings with answers, but the query should no longer be visible. Removing the link to the offer or deleting the question would not be a sensible option in this case.

  5. In the Answers tab, links between question and answer(s) can be removed, new ones added or the order changed. Editing the answers is not possible in this tab and is done in the Answer menu (see above).

The type of links (direct or indirect) can be viewed in the overview of all answers. The specific links for each answer can be found in the Answer details in the Links tab.

The links are added and removed in the Extended package configuration. This can be accessed via the offer wizard or the linked link in the Answer details (Fig. 5)

The red X in front of the questions and answers in the extended package configuration only deletes the link, not the actual question or (associated) answers.
