Custom fields for certain groups of persons

Another way to add further queries in the participation registration area is, to include questions & answers within offer packages. Questions & Answers can be used to request information and booking options, but they have no influence on the price of the offer.

As these queries are placed within the offer packages, the visibility of which can be controlled for the individual price groups, information can be collected in this way that is only relevant for a certain group of people.

Example:

An offer package is created for the registration of the press, which only sees this price group and adds the query in the package as to which press medium this person can be assigned to: Print, Digital, TV or Radio.

  • Questions & answers offer more options for further processing than custom fields and are easier to configure.

  • They are displayed on the booking confirmation and optionally on the invoice.

  • Answer abbreviations can be displayed on the badges.

  • Responses can be used to control contingents, i.e. the response options can be assigned contingents (except for free text answers).

  • Since answers can also be booking options, it is not possible for attendees to change (rebook) these themselves afterwards. Changes can only be made in the backend after the booking has been completed.

  • In addition to the options in the Offer wizard, questions & answers and their links can be edited under the Organization & Planning menu item (Fig. 1). You should avoid working in the Offer Wizard and the Organization & Planning area at the same time.

  • Attendees lists per answer can also be viewed and exported under Organization & Planning.

  • All questions and answers from attendees can be managed and processed in the booking exports (Fig. 2). The exports also contain the answers given to free text questions.

  • It is possible to create shortcuts for answers on the Converia dashboard in order to maintain a better overview.
