The Offer Wizard is used to select offers and booking options for price groups in different time periods. This and the following subchapters contain important information and tips on working with the Offer Wizard and the extended configuration.

The offer wizard is divided into:

  1. Categories (Fig. 1 and 2, point 1)

  2. Offers (Fig. 1 and 2, point 2)

  3. the price table with price groups and registration periods (Fig. 1 and 2, point 3)

  4. Questions and answers (Fig. 1 and 2, point 4)

Categories

  • Offers are created within categories and structured (thematically) with their help. There must be at least one category.

  • Categories are only displayed in the frontend if more than one category has been created. If there is only one category, its title and description are not displayed in the frontend.

  • Each category can contain several offers.

  • Categories can be made mandatory categories ( Fig. 3). This means that at least one offer from this category must be selected in order to complete the booking.

  • The Only one package in this category can be selected checkbox (Fig. 3) can be used to specify whether only one or more offers from the category can be booked.

  • Category names and descriptions are only displayed in the offer overview. They are not displayed on booking confirmations or similar documents.

Offers

  • Offers/offer packages are the bookable elements within the categories.

  • Offers with a price of €0.00 are displayed as free of charge in the frontend.

  • Offers that do not contain a price are not visible for the respective price group.

    • Exception: If the offer price for a price group remains the same across all time periods, the price only needs to be entered in the last time period. The offer is also displayed at the corresponding price in the previous periods.#

Example in Fig. 4:

The “Participation complete conference” offer always costs €0.00 for the “VIP Internal” price group, regardless of whether it is booked in the early bird or standard period. This offer is not available for the price groups “Speaker”, “Single room” and “Double room”. Different conditions only apply for participants and students, depending on the registration period.

  • Additional queries & booking options can be placed within offers.

  • Contingents for offers must be stored via answers.

  • Booked offers are displayed as an item on the booking confirmation and invoice

Questions & Answers

  • Within offers, additional queries can be integrated as questions & answers.

  • These elements can either be used to request information (e.g. food preferences for a conference dinner) or to provide more detailed booking options for the offer (e.g. workshop selection).

  • The selection of answers within an offer has no effect on the price of an offer.

  • Answers are displayed on the booking confirmation, but questions are not. Answers should be formulated in such a way that the context can be established (e.g. instead of “Yes”, it is better to enter “Yes, I choose vegetarian meals” as the answer text).

Explanations of the points in Fig. 5:

  1. Add a question with a text field for the answer (free text question). Predefined answers are not possible for this question type.

  2. Advanced options take you to the advanced package configuration where questions and answers are linked in the package and these links can be edited, e.g. to create additional contingent counters.

  3. Maximum n answers: Optional query with a maximum number of possible answers, displayed as checkbox(es)

  • At least n answers: Mandatory query with several possible answers, displayed as checkbox(es)

  • Maximum n answers: Optional query with a maximum number of possible answers, displayed as checkbox(es)

  • Exactly n answers: Mandatory query with a fixed number of required answers, displayed as radio buttons

  • If you have several possible answers, you can display them as a select box to save space.

  1. Deleting the question in the quotation wizard only removes the link between the quotation package and the question it contains. The question is still available and can be used elsewhere or edited under Administration -> Organization & planning -> Questions. The answers are also retained.

  2. Add possible answers to a question:

  • A new answer is created via New answer .

  • If required, a contingent can be defined for each answer option or a description can be specified.

  • Answers can be sorted using drag & drop .

  • Deleting an answer in the offer wizard only removes the link between question & answer. The answer is still available and can be edited under Administration -> Organization & planning -> Answers or linked again in the wizard via Existing answers.

Within an offer, it is determined for which an offer is visible and how much it costs for the respective price group.

In addition to creating a new question (Add question button), existing questions can also be linked. This means that questions and their answers are counted across all offers and a only needs to be stored centrally once. Changes to the question or its answers in one of the offers automatically affect all other packages in which the question is linked.

Existing answer can be used to link existing answers in several questions. This is useful, for example, if there is a for this option. If the answer is edited, this affects all the places where it is linked.
