Set up waiting list for fully booked offers

Configuration -> Attendee Registration -> Offer wizard

A specific waiting list function does not exist in Converia, which is why two configuration variants are described below that can provide a remedy.

It is not possible to automatically display queries (offers, questions, answers) for a waiting list in the frontend. The booking status should therefore be checked regularly, e.g. by linking the corresponding answers on the dashboard so that they can be kept in view.

As soon as a person who has a waiting list place can move up, a rebooking from the waiting list to the correct offer can be made in the backend.

1. Query about another free offer package

The query can be made via a new free offer package, which is created for people who wish to register on a waiting list (Fig. 1).

  • The offer package is configured in the same way as the regular offer (e.g. with the same queries in the offer package), but with the addition “Waiting list” in the title.

  • The offer package for the waiting list is hidden until the quota of the main package is exhausted. The configuration takes place in the extended package configuration (Fig. 2).

2. Query within the fully booked offer

Alternatively, it is possible to set up a waiting list query within a fully booked (free) offer (see additional queries within offers). Either additional questions including an answer option (A) or only additional answer options (B) are set up for the waiting list query.

Variant A

  • The question incl. answers (Fig. 3) for the waiting list are configured in the same way as the question incl. answers for regular contingent participation.

  • Questions incl. answers are hidden until the quotas of questions incl. answers of the regular query are exhausted.

Variant B

  • Responses (Fig. 4) to the waiting list are configured in the same way as the responses to the regular contingent participation.

  • Responses are hidden until the quotas of responses to the regular query are exhausted.
