A booking is canceled if individual participants in a group booking cancel but the associated collective invoice is to be retained.
Check in advance whether you are canceling part of a group booking, otherwise you may be able to cancel the invoice (e.g. if an individual booking is canceled) or cancel individual booking options (e.g. if only part of the booking is canceled).
An overview of all cancellation options is provided in the chapter Cancellation at a glance.
Call up the booking details of the desired booking, select the Cancel tab and set the cancellation fee.
If the specified cancellation fee differs from the current configuration, it makes sense to record the reason in a comment.
Finally, the invoice must be updated, only then is the processing procedure completed and a new invoice document created.
The comment function can be used to document changes or deviations for other editors in the backend.
No automatic emails are triggered when edits are made in the backend. If necessary, the participants can be informed via booking info mail (sent to the person who booked in, tab in the booking details) or invoice info mail (sent to the invoice recipient, tab in the invoice details).
If the booking has not yet been paid for and there are no cancellation fees, nothing further needs to be done - the process is complete.
If fees are charged or a refund is to be made as a result of the cancellation, the chapter Charge a handling fee and Depositing a payment or credit note for an invoice explain the correct procedure.
For ticketing customers: In the event of a refund, the process must be submitted to the Converia Ticketing Service next.
