For multilingual events, the information about which language should be used is stored for each personal data record in Converia (Fig. 1). This can be done in several ways:
The language in which a person performs an action on the frontend is usually automatically selected for that person's data record. This refers, for example, to completing a booking or submitting a contribution.
The language can be entered or changed directly in the backend in the person's data record.
The information about which language a person has is defined in the import file for the person import.
However, a person's language is not permanently fixed. The language setting is changed if that person then performs an action in a different language on the front end. This also applies to the retrieval of dynamically generated documents.
For example, a person registers as a participant and receives the booking confirmation and invoice in German. They then switch to the English sub-portal (Language = Sub-portal) and submit a contribution. They now receive the confirmation email in English. If the person then accesses their booking confirmation again, it is now also in English. The invoice, on the other hand, remains in German, as it is not regenerated. This means that people may receive mails or documents in different languages.
This also happens frequently during testing, since all languages are usually tested here.
If a personal data record is created in the backend and no language is selected, the primary conference language applies to mails and documents. If a language is selected that is not in use as a conference language in this conference, the fallback is the primary conference language. This prevents empty mails and documents from being sent.
For active conference languages, all mail templates should always be filled. There are fallbacks in many places in the system – if the mail template remains empty, another language (usually German) is used, e.g. system mails such as when requesting a new password are secured.
However, this is not the case for all places! Especially in the individually configurable mails for submission, evaluation and registration, care should be taken to ensure that mail templates exist for all active conference languages. The events that Converia offers as copy templates are filled with content in all the corresponding places.
