Basic setup of the registration
Converia is able to processes complex registration prozesses, which means that the settings to be made can be very extensive. To prevent configuration errors, it is important that it is as clear as possible in advance what is to be mapped. A few questions should therefore be asked and answered before starting the setup:
Does the event have to be paid for by the attendees or is it free of charge? In case of a free event, how should invoices and processing fees be handled? How should taxation be handled in the case of fee-based offers?
What should attendees be able to book? Should they be able to put together an individual program from an extensive range or should the registration be as quick and easy as possible, with little individual choice but lots of inclusive services, for example?
Are there special groups of people who receive discounts? How should these discounts be made possible - with access restrictions (e.g. through vouchers) or via subsequent verification? Is information provided in advance or are discounts only granted on request?
If existing groups of people (company/institution's own distribution list) are to be informed - should this be done by Converia, externally via mailing lists or similar? Individual registration information (e.g. vouchers) can be sent directly from Converia. However, a personal import may have to be carried out first, if the personal data is not yet available in Converia.
Which information should attendees receive at what point during the registration process and which information do they have to provide in return? Specifically, this request relates to documents such as invoices, booking confirmations, certificates of attendance, supporting documents, queries during the registration process, etc.
Should participants have access to a personal login area, i.e. should they (have to) create a user account during the registration process? This has the advantage that, for example, certificates can be uploaded at a later date and personal documents and information can also be downloaded and edited by the attendee. On the other hand, it means that another user account is added to the number of user accounts that everyone has and the registration process is extended. However, if you also use the contribution submission function, for which a login is mandatory, we recommend that you also activate this function in the attendee registration.
